Sr. Administrative Assistant

LinkedIn is looking for a Senior Administrative Assistant to support two Sr. Directors within our Global Talent Organization (GTO). The ideal candidate for this position must be proactive with excellent problem solving and judgment skills, and must be able to handle details of a highly confidential and critical nature, interact comfortably and skillfully with senior level executives within and outside the company, as well as with customers, vendors and visitors. He/she will be expected to resolve time sensitive issues with a high degree of precision and exhibit strong organizational, written and verbal communication skills. Attention to detail and the ability to anticipate the needs of the executives and their teams are a must. The ability to credibly and competently interact with other executive assistants and managers within/outside of LinkedIn is required. The individual will be expected to apply common sense and execute tasks with minimal direction. Individual must demonstrate ability to accommodate flexible work schedule, based on the needs of management and the department.
Responsibilities:
- Collecting and preparing information for the use in presentations/meetings of executive staff, LinkedIn employees as well as with external individuals
- Documenting meeting minutes as well as manage action items
- Planning, organizing and managing multiple calendars
- Coordinating and managing staff travel arrangements
- Coordinating meetings and assisting with webex and telecom needs
- Answering phones, screening and documenting incoming calls
- Managing and reconciling expense reports and purchase requisitions submissions
- Provide back-up support for other executive admin.
- Individual must be a team player with excellent multi-tasking skills
- Work with Finance for monthly budget reconciliation
Basic Qualifications:
- Requires a minimum of 5+ years of experience working at a Senior and/or Executive level Assistant
- Demonstrates advanced knowledge of Microsoft Office and Gmail
Preferred Qualifications:
- Outstanding communication skills, both written and verbal
- Natural inclination for attention to detail and process improvement
- Ideal candidate will have demonstrated an ability to learn/adopt new office technologies
- Project management experience desired
- Flexibility and the ability to change directions quickly
